Pipedrive pricing confuses small teams because the homepage seat is not the bill. You are buying a plan tier (which pipeline, automation, and reporting features you may use) times seats you will actually open, plus optional packs that look cheap until three of them sit on every closer.

This map does not quote a fake 2026 price list. Pack names and regional rates move — Pipedrive has renamed editions more than once. The mental model: plan × seats × optional packs

Pipedrive has historically sold along three axes:

  1. Edition / plan — names have looked like Essential / Advanced / Professional, and later Lite / Growth / Premium / Ultimate (they get renamed). The edition gates depth: email sync, workflow automation, insights, permissions, and AI assists.
  2. Seats — you pay for humans who need the board. A seat for someone who logs in twice a quarter is a donation.
  3. Add-ons — lead inbox / chat / forms, web visitors, campaigns, projects, smart docs, phone, extra AI. Each is a real product. Together they are how a “simple CRM” outruns the under-$200 envelope.

The SME mistake is treating a mid-tier quote for two founders as “the price of Pipedrive,” then adding a lead pack, a campaigns pack, and a contractor seat in month three.

What you are actually paying for

1. Weekly openers, not headcount

List the humans who will move a deal or log an activity every week. That is your seat count. Delivery people who only need to see a won deal often belong in the work OS. Finance who need a CSV once a month do not need a seat.

Pipedrive’s permission model changes. Verify whether a cheap viewer exists on the edition you will run before you promise the whole company a login.

3. Add-ons that pretend to be “just CRM”

Typical shapes (names move):

  • Lead capture (chat, forms, a chatbot, a prospector). Buy when a form already converts. Skip it to “look modern.”
  • Campaigns / email. Fine for a tiny list. If journeys are the product, a dedicated send — often ActiveCampaign or a free email tool — is the honest split. Do not pay Pipedrive campaigns and another ESP for the same humans.
  • Projects. Only if delivery will live here. A second project graph is how Friday disappears.
  • Docs / proposals / e-sign. Price against the proposal tool you already have.
  • Web visitors / phone / enrichment. Optional until a specific weekly job exists.

Write the pack name and the job on the same line, or do not buy it.

4. Annual vs monthly, currency, and the trial

Annual is cheaper only if the board is still the Monday meeting in month ten. Prefer monthly until two people have kept next-activity discipline for a quarter, if the current offer still allows it. Verify.

Stay on a spreadsheet if you have fewer than a handful of open conversations and you actually update the sheet.

Start on the lowest Pipedrive edition that forces a next activity if the weekly sentence is “deals with no activity in seven days.” Two weeks of a required next step tells you more than a feature matrix.

Jump a tier only when a gated feature is blocking the forecast: shared automation, reporting the founder did not build once, or permissions the intern can break. If nobody used the gated feature in 90 days, downgrade.

When HubSpot’s free CRM is the cheaper start

Choose HubSpot free (no Pipedrive yet) when you want a shared record that can later hold forms and a marketer, and nobody is blocked on a rotting-deal view that free cannot give you.

Choose a low Pipedrive tier when the product you are buying is habit: a board everyone will drag, activity reminders that are not folklore, a closer who has seen this UI on another floor. A paid seat that gets used is cheaper than a free suite nobody updates.

Cons

  • There is no honest free-forever CRM. The trial ends.
  • Add-ons recreate suite math if you are not strict.
  • Company-wide reporting and marketing-in-the-same-record are thinner; you will split tools on purpose or you will pretend you did not.

Common mistakes

  • Buying the top edition because a competitor’s blog listed AI as “included.”
  • Seating the whole company “so everyone has visibility.”
  • Opening campaigns instead of pricing a dedicated send.
  • Running HubSpot and Pipedrive “for different departments.”
