Most paid Hubs are priced per seat (sometimes with a platform fee — confirm on the current page). A seat for someone who never logs in is a donation. Before you upgrade, list humans who will use the gated feature weekly. Contractors who need a contact record may belong on a free permission set if HubSpot still offers that split — verify, because permission models change.

Marketing Hub pricing has historically been sensitive to contact counts and sending volume, not just seats. A neglected list of old event signups can become the quote. Clean the database before you ask HubSpot for a number. Verify how HubSpot currently defines billable contacts.
4. Onboarding, professional services, and marketplace
Onboarding packages and partner implementations are optional until they are not. A small team can implement a simple pipeline without a partner. A messy migration from another CRM is a labour cost even if the licence looks friendly. Marketplace apps can add another subscription that is easy to forget in the “HubSpot is $X” slide.
A sane upgrade path for a small team
Stay on free until one of these is true:
- You need sequences (or equivalent) and have counted how many people will send them.
- You need reporting that free dashboards cannot give the weekly meeting.
- You have permissions problems (the intern can delete the pipeline).
Buy one Hub, one tier, for one quarter. Write the feature that justified it on a wiki page. If nobody used that feature in 90 days, downgrade. HubSpot’s annual contracts can make that harder — prefer monthly until the habit is real, if the current offer still allows it. Verify.
Do not open Marketing Hub because a template pack looked pretty. Do not buy Service Hub because you once missed an email.
Hidden-ish costs SMEs miss
- Unused seats after a contractor ends. Review monthly.
- Duplicate email tools. Paying Marketing Hub and ActiveCampaign for the same list.
- Over-built properties. You will pay admin time forever.
- Required higher tiers for API or automation limits once Make or Zapier starts writing at volume. Check limits before you automate a noisy sync.
